General Statement Of Duties

The Deputy Clerk and Deputy Court Executive of the Court of Appeals assists the Clerk and Court Executive of the Court of Appeals with non-judicial administration of the Court of Appeals and is responsible for leading and overseeing the administrative functions of one or more units. May act as Clerk and Court Executive of the Court of Appeals in their absence.

Essential Functions Of the Position

  • Provides fiscal support by managing court credit card spending, updating monthly budget reports, and advising court leadership on budgetary issues.
  • Reviews, verifies, and may approve contracts. Ensures invoices are accurate and paid timely.
  • Manages contract employees, including the creation of employee contracts.
  • Assists in the administration of court-wide committees and management of court projects.
  • Assists the Clerk of Court and Court Executive by providing representation in meetings with public and private agencies.
  • Resolves complaints on court related matters from the public, law enforcement agencies, attorneys, and others. Handles Americans with Disabilities Act complaints from individuals with pending court cases.
  • Acts as the subject matter expert and trains administrative staff on Family Medical Leave Act, Family and Medical Leave Insurance, workers compensation, short term disability, and other employee policies and procedures.
  • Assists with employee compliance training for all staff, including law clerks and judges.
  • Manages recruitment process for all staff positions and the onboarding of new employees. Maintains staff information in Personnel Records System. Monitors and processes employees' status change from probationary to certified.
  • Assists judges and staff with statistical reporting and analysis regarding court and administrative matters.
  • Assists in the coordination of court policies and procedures. Directs personnel in the preparation, reproduction, and distribution of court orders, directives, and communications.
  • Supervises the work of administrative staff, including assigning and reviewing work, providing guidance, hiring, training, and conducting performance evaluations.
  • Directs all court property and facilities including space allocation, needs assessment, security, facilities planning, and maintenance of all court property.
  • Appraises the Chief Judge on all administrative matters.
  • Attends meetings and completes training as required.
  • Performs other duties as assigned.
Supervisor Responsibilities

Work requires supervising and monitoring performance for a regular group of employees (1 or more full-time employees) including providing input on hiring/disciplinary actions and work objectives/ effectiveness, performance evaluations, and realigning work as needed. The work performed by majority of employees is complex.

Minimum Education

Education and Experience Equivalency:
Graduation from an accredited college or university with a bachelor’s degree, preferably in business, public or court administration, or related field

OR 

An additional four (4) years of work experience in these or other related fields may be substituted on a year-for-year basis for the required formal education. 

Work-related Experience:
At least four (4) years of professional administrative experience in a court, law firm, legal entity/agency or related field or at least four (4) years of increasingly responsible administrative experience in an appellate court. 

Licenses and Certifications:
None.

Preferred Qualifications:
Supervisory experience.
